Privacy Policy

This page explains what personal data may be processed when you use sysproperties.do, why that happens, and what rights you have.

1. Controller

The controller responsible for data processing on this website is:

2. General information

sysproperties.do is a public informational side project about ServiceNow system properties. The website does not offer user accounts, paid services, or newsletters.

I do not intentionally collect sensitive personal data and the website is not intended for children. Please do not submit confidential or sensitive personal information through the search or contact functions.

3. What data may be processed when you visit the website

When you open the website, technical connection data may be processed automatically by the hosting and infrastructure providers used to deliver, secure, and troubleshoot the site.

This may include:
  • IP address
  • date and time of the request
  • requested page or resource
  • browser and device information
  • referrer URL
  • technical logs required for stability and security

I do not intentionally store IP addresses in my own application-level logs for contact form submissions or AI question logging. However, technical provider-side logs may still exist at the infrastructure level.

4. Contact form

If you use the contact form, the data you submit is processed so I can review and respond to your message.

Data processed via the contact form:
  • name, if you provide it
  • email address
  • message content
  • timestamp of submission

This information is stored in Supabase. It is not automatically forwarded to me by email.

5. AI search and question logging

The website includes AI-supported functionality for search and question answering. If you use these features, your submitted question may be processed to generate a response.

For quality management, I log:
  • the question submitted through the AI feature
  • the related timestamp

According to my current setup, I do not intentionally log IP addresses in this application-level question logging.

6. Use of OpenAI API

AI-supported features on this website are powered by the OpenAI API. If you use AI search or AI question features, the text you enter is transmitted to OpenAI solely to generate a response.

According to OpenAI, data sent through the API is not used to train or improve OpenAI models by default unless the customer explicitly opts in to such data sharing.

OpenAI may retain API content in abuse-monitoring logs for up to 30 days by default, unless a longer retention period is legally required or a different retention configuration applies.

Contact form submissions stored in Supabase are not sent to OpenAI unless you separately submit similar content through an AI feature.

7. Cookies and analytics

This website currently does not use analytics tools such as Google Analytics and does not intentionally set cookies for tracking or marketing purposes.

If this changes in the future, this privacy policy will be updated accordingly.

8. Purposes of processing

Personal data may be processed for the following purposes:

  • to make the website available technically
  • to ensure security and stability
  • to answer contact requests
  • to provide AI-supported search and question answering
  • to review submitted AI questions for quality improvement of the website
  • to detect misuse or technical issues

9. Legal bases

Where the EU GDPR applies, data processing is generally based on Art. 6(1)(f) GDPR (legitimate interests), in particular the interest in operating, securing, improving, and responding through this website.

If you voluntarily send information through the contact form or AI features, processing may also be based on your request to interact with the site and receive a response.

Under Swiss data protection law, processing takes place for the purposes described in this notice and in accordance with the applicable Swiss legal requirements.

10. Recipients and service providers

I use the following service providers to operate the website:

  • Hostinger for website hosting and infrastructure
  • Supabase for backend functions and data storage
  • OpenAI for AI-generated responses

These providers may process personal data on my behalf or as independent recipients to the extent technically required to provide their services.

11. International data transfers

Depending on the infrastructure and providers used, personal data may be processed outside Switzerland or outside the European Economic Area.

Where text is processed via the OpenAI API, OpenAI states in its Data Processing Addendum that EEA and Swiss data is handled under its DPA and that onward transfers outside the EEA or Switzerland are based on Standard Contractual Clauses or an adequacy decision, where applicable.

Additional regional processing options may be available on supported API endpoints, depending on the selected configuration.

12. Retention period

Unless a longer retention period is required by law or needed to resolve a specific issue, the following retention periods currently apply:

  • Contact form submissions: up to 12 months
  • Logged AI questions: up to 12 months
  • Technical provider logs: according to the retention settings and policies of the relevant provider

Data may be deleted earlier if it is no longer needed.

13. Your rights

Depending on the applicable law and the specific situation, you may have the right to:

  • request information about personal data processed about you
  • request correction of inaccurate data
  • request deletion of your data
  • request restriction of processing
  • object to certain processing activities
  • request data portability where applicable
  • withdraw consent, if processing is based on consent
  • lodge a complaint with a competent data protection authority

14. No obligation to provide data

You are generally not legally required to provide personal data to use the public informational parts of this website. However, the contact form and AI features cannot function without the text you voluntarily submit.

15. Automated decision-making

This website is not intended to use automated decision-making or profiling that produces legal effects or similarly significant effects on visitors.

16. Changes to this policy

I may update this privacy policy if the website, providers, or legal requirements change. The current version published on this page applies.
